💱Multi-Currency & Exchange Rates

Run fees, collections, expenses and purchases in different currencies while retaining original and base-currency values.

17

Usage steps

  1. 1

Set the nursery accounting/base currency in settings.

  2. 2

Maintain dated exchange rates before posting foreign-currency transactions.

  3. 3

Choose the fee-plan or invoice currency independently from the base currency.

  4. 4

For cross-currency collections, review payment amount, applied invoice amount and settlement rate.

  5. 5

For Administration & Accounting

🏦Treasury, Banks & Transfers

  2. 2

Post collections and expenses to the account where the money actually moved.

  3. 3

  4. 4

For different currencies, enter the transfer rate and review received amount and realized FX difference.

  5. 5

Open Account Statement to review opening balance, movements and running balance.

Important notes
  • The financial-account currency must match the transaction/payment currency.
  • Use transfers—not an expense plus receipt—to move money between nursery-owned accounts.

For Accounting & Administration

🔄Bank & Cash Reconciliation

Import statements, match bank movements to Sanad and resolve fees or differences before closing reconciliation.

19

Usage steps

  1. 1

Create a reconciliation session for the account and period.

  2. 2

Download the CSV sample, then import the statement or add lines manually.

  3. 3

Edit any unmatched line while the session is still open.

  4. 4

Review automatic suggestions. If the statement amount differs, select the Sanad movement and classify the remaining difference.

  5. 5

For an unrecorded line, create a manual adjustment: bank fees or debit interest for outflows, and credit interest for inflows.

  6. 6

Resolve all lines, review the statement balance difference, then close the session.

Important notes
  • Enter an amount in either Debit or Credit per CSV row, never both.
  • A session cannot close while unresolved lines or an unacceptable balance difference remain.
  • Undoing a match also removes its linked difference adjustment.

Financial controls hold transactions that exceed budget or amount thresholds until manager approval.

  4. 4

Approve to post the transaction or reject it with a review note.

  5. 5

  6. 6

For Nursery Administrator

🔄Monthly & Annual Billing and Plan Changes

Choose monthly or annual billing and move between plans with transparent proration of the remaining prepaid period.

25

Usage steps

  1. 1

Open Subscription to see the current plan and all available public plans.

  2. 2

Choose monthly or annual billing when subscribing or renewing.

  3. 3

For a mid-cycle plan change, Sanad calculates the unused value of the current paid subscription and the target plan cost for the remaining period.

  4. 4

For an upgrade, the payable amount is the net difference after unused value and any available subscription credit are applied.

  5. 5

For a downgrade, any net amount due back to the nursery becomes subscription credit for future Sanad payments.

  6. 6

The plan and credit balance do not change until the payment or plan-change request is approved by the Super Admin.

Important notes
  • The settlement breakdown is shown before submission so the calculation is transparent.
  • Subscription credit is not a cash refund; it is a credit balance for future Sanad subscription payments.

  4. 4

Use roles and permissions instead of sharing an administrator account.

  • Logout is protected and sessions have a defined lifetime.

  5. 5

A customer may enter the code at signup for the first paid subscription after trial, or apply it directly during renewal.

  6. 6

A redemption is recorded only after the subscription payment is approved.

Important notes
  • Fixed discounts require an explicit currency.
  • Codes can be limited once per nursery and/or by total redemptions.
  • The server recalculates the final payable amount rather than trusting the browser.

  • A legal warning does not block approval, while an arithmetic net-pay mismatch does block approval to protect calculation integrity.
  • Sanad is Simple Payroll and does not replace every advanced statutory treatment or official filing workflow.

🇸🇦Payroll — Saudi Arabia

Run Saudi payroll with GOSI, SANED and occupational-hazard contributions separated between employee and employer.

30

Usage steps

  1. 1

Open the employee salary structure and set nationality, base salary, housing allowance and payment method.

  2. 2

For a Saudi employee, select the applicable GOSI scheme: legacy or new system.

  3. 3

Enable social insurance for covered employees, or disable it when the employee is not covered according to approved records.

  4. 4

Create the monthly payroll run and review contributory wage, pension, SANED and occupational-hazard amounts.

  5. 5

Review employee and employer contributions separately in payroll and reports.

  6. 6

Open the payslip to see the GOSI breakdown, earnings, deductions and net salary.

  7. 7

Use Saudi 2026 Validation or run audit-saudi-payroll-rules during UAT.

Important notes
  • Sanad does not calculate employee salary income tax in Saudi payroll.
  • Housing allowance is included in the current supported GOSI contributory-wage calculation.
  • The current release does not submit Wage Protection files or synchronize automatically with Mudad or Qiwa.

👥Employees, Advances & Adjustments

Manage employee records, pay staff advances from cash or bank, and control payroll additions and deductions before they enter a payroll run.

31

Usage steps

  1. 1

Open Employee Management from Payroll, then choose Add Employee to create a staff record even when the person has no system login.

  2. 2

Enter the employee name, job title and salary, then enable the applicable items; an insurable wage is required only when social insurance is enabled.

  3. 3

In Employee Advances, select the employee, amount and paying account. The account must be an active cash or bank account in the nursery currency.

  4. 4

Set the recovery method, number of installments and the first recovery month. Sanad posts the advance automatically as an expense in the selected account ledger.

  5. 5

In Additions & Deductions, select the employee, payroll month, type, category and amount, then save the item.

  6. 6

Edit or cancel an advance or adjustment only before it is included in a calculated or approved payroll run. It becomes locked afterwards to protect payroll integrity.

Important notes
  • Do not create a login for every staff member unless they need to use the system; the employee record is separate from access permissions.
  • Cancelling an advance before payroll also removes its linked cash or bank expense movement.
  • Review advances, additions and deductions before calculating payroll, because a calculated run locks those inputs.

  4. 4

Assign a child to the route and select pickup/return service, stops and authorized receiver.

  5. 5

Create the daily pickup or return trip; Sanad loads eligible children automatically and checks capacity.

  6. 6

Start the trip and update each child's status through arrival or parent handover.

  7. 7

Complete the trip only after every child is resolved and record vehicle maintenance when needed.

Important notes
  • Trips cannot be created while a vehicle is under maintenance or out of service.
  • Trip creation is blocked when assigned children exceed vehicle capacity.
  • Document-expiry and maintenance conditions surface in the Notification Center.

  7. 7

Use Notifications for reports, invoices, parent requests, transport events and vehicle-approaching alerts.

Important notes
  • A guardian can see only children linked to that guardian inside the same nursery.
  • Sensitive Parent Portal pages use no-store cache controls.
  • Vehicle location is visible only during an active trip while live tracking is enabled.

📍Transportation — Live Tracking, Handover & Cost

Live GPS, stop ETA, vehicle-approaching alerts, PIN/QR handover, trip history and route/student cost analysis.

34

Usage steps

  1. 1

Enter Latitude/Longitude for each stop and set its proximity-alert radius in metres.

  2. 2

Set monthly fixed cost, estimated fuel cost and other per-trip costs on the route.

  3. 3

When the trip starts, Sanad enables live tracking; allow Location on the driver/supervisor phone.

  4. 4

Sanad updates the trip location and calculates ETA for children whose stops have valid coordinates.

  5. 5

When the vehicle enters a child's stop radius, Sanad sends one in-portal vehicle-approaching notification.

  6. 6

For return trips, each child receives a trip-specific PIN and QR; one must be verified before handover can be recorded.

  7. 7

Use Route Cost for trip and per-child cost analysis, and Parent Transportation for the child's trip history.

Important notes
  • Browser GPS requires HTTPS in production or localhost during testing.
  • Tracking stops when the trip is completed and the Parent Portal does not expose a full historical vehicle-location trail.
  • PIN/QR is an additional handover control and does not replace human verification of the authorized receiver.

💳Transportation Billing & Expenses

Collect student transportation fees monthly or annually and post completed vehicle maintenance as actual expenses.

35

Usage steps

  1. 1

Open the student's transportation assignment and enable Transportation Billing.

  2. 2

Choose the payment cycle: monthly or annual.

  3. 3

Enter the monthly and annual fees. If the annual fee is zero, Sanad uses 12 × the monthly fee.

  4. 4

Set the due day from 1 to 28 and save the assignment.

  5. 5

Go to Transportation → Transportation Billing, choose the billing-period start, then generate invoice drafts for all enabled assignments or one child.

  6. 6

Review and approve the drafts in Billing, then collect them fully or partially using the existing collection methods.

  7. 7

Enter vehicle maintenance cost. When maintenance is completed, use Post as Expense to create one linked Expense record.

  8. 8

Optionally select a financial account when posting maintenance so the expense is linked to the selected cash/bank account.

Important notes
  • Sanad prevents duplicate invoices for the same transportation assignment and billing-period start.
  • An annual transportation invoice covers 12 months beginning on the selected date.
  • Transportation invoices are normal Billing invoices and appear in the Parent Portal.
  • The same maintenance record cannot be posted to Expenses twice.

Open Super Admin → Nursery Entitlements and enable Transportation Add-on.

  4. 4

Enter the negotiated monthly and annual add-on prices for that nursery.

  5. 5

If annual price is zero, Sanad uses 12 × the monthly price.

  6. 6

The active add-on price is included in the nursery's monthly or annual Sanad subscription renewal total.

Important notes
  • Transportation add-on pricing is commercially independent between Egypt and Saudi Arabia.
  • The public pricing page shows Contact us until a published commercial price is approved.
  • The add-on paid by the nursery to Sanad is completely separate from transportation fees paid by families to the nursery.

Sanad calculates the unused value of the current paid subscription and the higher plan cost for the remaining period, then applies any available subscription credit and shows the net amount due before submission.

SubscriptionWhat happens when I downgrade to a lower plan?+

Sanad settles the remaining period. If the calculation leaves an amount in the nursery's favor, it is added to the subscription credit balance for future Sanad payments.

SubscriptionCan subscription credit be withdrawn as cash?+

No under the current policy. It is a credit balance for future Sanad subscription payments and is tracked in the subscription credit transaction history.

SubscriptionDoes my plan change as soon as I submit an upgrade or downgrade request?+

No. The current plan, subscription period and credit balance remain unchanged until Sanad Administration approves the request.

Promo CodesCan the promo discount differ between monthly and annual billing?+

Yes. A promo code can have separate discount values for monthly and annual billing, and Sanad applies the value that matches the selected billing cycle.

Yes. Social insurance and payroll tax are independent switches in the salary structure, so either can be enabled or disabled without forcing the other.

Payroll — EgyptHow does Sanad calculate Egyptian payroll tax?+

Within the Simple Payroll scope, Sanad uses cumulative YTD calculation on a 360-day basis with the applicable tax bands, personal exemption and employee social-insurance deduction when enabled.

Payroll — EgyptWhen is the insurable wage required?+

It is optional for an employee who is not covered by social insurance. Once insurance is enabled, it must be greater than zero and within the legal profile limits; other advisory warnings remain review-only.

No. The current Sanad Saudi payroll does not deduct employee salary income tax.

Yes. The monthly payroll report can be exported to CSV, and an employee payslip can be printed or saved as PDF from the browser.

PayrollIs Sanad a full HR suite?+

No. The current release provides Simple Payroll for nursery operations and does not attempt to replace advanced HR, attendance payroll or full government integrations.

No. You can add an employee from Employee Management and maintain their salary without a login. Create a user only for someone who needs system access.

In Employee Advances, select the employee, active financial account, amount and recovery plan. Sanad automatically creates an expense in the selected cash or bank ledger.

PayrollWhen can an employee advance be edited or cancelled?+

It can be changed before any installment is included in a calculated or approved payroll run. Cancelling it before payroll also removes its linked financial movement.

PayrollWhen can an addition or deduction be edited?+

TransportationDoes Sanad enforce vehicle capacity?+

Yes. Daily-trip creation compares eligible assigned children with the vehicle capacity and blocks an overloaded trip.

During an active trip, the driver or supervisor shares the phone location through the browser after granting Location permission. Sanad sends periodic updates and stops tracking when the trip ends.

TransportationHow is ETA calculated?+

Sanad calculates the distance from the current vehicle location to the child's stop and estimates arrival time using available trip speed or a conservative default speed.

TransportationWhen is the vehicle-approaching alert sent?+

It is sent once per trip when the vehicle location enters the proximity radius configured for the child's stop.

TransportationHow do PIN and QR handover controls work?+

Sanad creates a separate PIN and QR for each child on a return trip. Handover cannot be recorded until one is verified and the receiver name is entered.

TransportationCan the parent see trip history?+

Yes. Transportation shows trip date, direction, stop, status, arrival/handover time and receiver name when available.

TransportationHow are route and per-child costs calculated?+

The administrator enters monthly fixed cost, fuel and other per-trip costs. Sanad estimates trip cost and allocates it across non-absent children to provide an approximate per-child cost.

TransportationDoes GPS require a dedicated vehicle tracker?+

Not in this release. Tracking uses the driver or supervisor phone GPS through the browser. A dedicated tracker can be integrated later if required.

TransportationCan transportation fees be collected monthly or annually?+

Yes. Each child's transportation assignment has a monthly or annual billing cycle. Monthly and annual amounts can be set independently; if annual is zero, Sanad uses 12 times the monthly fee.

TransportationHow is a transportation invoice issued?+

Open Transportation Billing, choose the period start, and generate drafts for all enabled assignments or one child. After approval, the invoices are collectible in Billing.

TransportationCan a transportation invoice be paid in installments?+

Yes. It is a standard Billing invoice, so partial and full collections are supported and the paid/remaining balances are tracked.

TransportationDoes the parent see the transportation invoice?+

Yes. It is linked to the child and appears with the child's invoices and payments in the Parent Portal.

TransportationHow does Sanad prevent duplicate transport invoices?+

The invoice is linked to the transportation assignment and billing-period start; another invoice for the same assignment and period cannot be created.

TransportationHow is vehicle maintenance posted as an expense?+

After maintenance is completed, choose Post as Expense. Sanad creates one Expense linked to the maintenance record, vehicle, cost, date and optional financial account.

TransportationCan the same maintenance record be posted twice?+

No. Each maintenance record can be linked to only one Expense.

PricingIs Transportation included in the base plan?+

No after trial. Transportation is a separate paid add-on activated for the nursery at an agreed monthly or annual price.

PricingAre student transportation fees the same as the Transportation Add-on price?+

No. The add-on is the nursery's subscription to the Sanad Transportation module; student transportation fees are nursery revenue invoiced to families.
